When a simple invoice is enough
If you bill a handful of clients a month, accounting software can be overkill. What a client's accounts-payable team actually needs is short: who is billing, who should pay, a unique invoice number, the date, what the charges are for, the total and how to pay. This template has a box for each of those and nothing else.
Filling it in
Use a new invoice number every time — many people use the year plus a running count, such as 2026-014. Write the due date as a date rather than "Net 30" so there is no doubt. In the payment notes, give the method you prefer (ACH details, a payment link or a mailing address for checks) and your late-payment terms, if any. The amount fields are plain text boxes, so add the totals yourself and double-check them before sending.
Sending and keeping copies
Flatten the invoice before sending so the numbers cannot be changed, then save a copy with the invoice number in the file name. If a client asks for a W-9 with your first invoice, see our guide to filling out a W-9 PDF.
Tips
- Put your business name in the "From" box exactly as it appears on your W-9.
- Sales tax rules vary by state and by what you sell; check with your state revenue department.
