When to flatten a form
Flatten a PDF form right before it leaves your hands for good: a signed lease going back to a landlord, an application uploaded to a portal, a form going to a print shop. Fillable fields are rendered differently by different apps — some phone viewers hide them entirely, some printers drop them — while flattened answers are plain page content and look the same everywhere.
How to use this tool
- Open the PDF. Drop the form above. FormFlow lists every field it finds, with the current answer next to it, so you can check nothing is missing.
- Choose what to do. Flatten keeps the answers and locks them in. Remove all fields deletes the interactive layer completely. Clear all answers resets the form for the next person.
- Download. Press Apply & download. You get a new copy; your original file is untouched.
Examples
- Before emailing a completed W-9 to a client, flatten it so the TIN and name can't be edited accidentally.
- An event registration form you filled in as a test: clear all answers and send out the blank copy.
- A vendor's form with broken fields in the wrong places: remove all fields, then rebuild them with Create fillable PDF.
Questions people ask
What does flattening a PDF form mean?
Flattening takes the answers sitting inside form fields and draws them onto the page itself, then removes the fields. The PDF looks the same, but nobody can change the answers by clicking into a field, and every viewer — including phones and print shops — shows exactly the same thing.
What is the difference between flatten and remove fields?
Flatten keeps what was typed and makes it permanent. Remove fields deletes the fields along with their answers, leaving only the original page — useful when you want to reuse a form layout or re-build its fields from scratch.
How do I clear a filled form so I can reuse it?
Choose "Clear all answers". Every text box is emptied and every checkbox, radio button and dropdown is reset, but the fields stay, so the form is ready for the next person.
Can I undo flattening?
Not in the flattened file — that is the point. FormFlow never changes your original file, though; it saves a new copy, so keep the original if you might need to edit answers later.
Some older forms say "Please wait…" or show nothing. Will this work?
Those are XFA forms, an older Adobe format that most viewers cannot display. FormFlow removes the XFA layer and works with the standard AcroForm fields underneath, when the PDF has them.
